Executive Operations Specialist

Differential Ventures is a NYC-based venture capital fund investing in AI, machine learning, and data-centric startups across North America, Europe, and Israel. Our portfolio companies use data science and engineering to build ‘the data-driven economy.’ With a team of experienced investors, data scientists, and startup executives, we focus on advancing enterprise technology to help companies transition into the “data age.”

We’re looking for an Executive Operations Specialist to support our Managing Partners and investment team, working daily from our Midtown Manhattan office. We are a small team of highly-motivated and high-performing professionals on a mission to build a top-tier, early-stage venture capital firm.

In this high impact role, you’ll help ensure that our day-to-day workflow operates more effectively and strategically.

You are proactive, exceptionally organized, and passionate about optimizing processes. As an effective communicator and relationship builder, you’ll engage seamlessly and professionally with C-level executives, entrepreneurs, founders, limited partners, and other senior stakeholders, fostering collaboration at every step.

Responsibilities include (but are not limited to) the following:

Managing Partner Support

  • Act as gatekeeper for the Managing Partners to all partners of the firm including portfolio companies, board members, other VCs, founders, and investors.

  • Track the Managing Partners commitments, assist in daily planning and ensure follow through on all responsibilities.

  • Handle personal and professional tasks for the Managing Partners—errands, bills, and more!

Calendars & Meetings

  • Keep things running smoothly by managing fast-changing calendars, scheduling meetings, events, and travel plans for the team.

  • Coordinate meeting logistics, from preparing materials to scheduling conference calls and catering when necessary.

Communication & Relationship Management

  • Be the go-to, primary point of contact for the investment team, managing communications, inquiries and priorities.

  • Serve as brand ambassador, representing the firm with style in all interactions with external partners and stakeholders.

  • Manage highly sensitive and confidential information with complete discretion and professionalism.

Admin & Office 

  • Ensure the office operates efficiently by managing supplies, vendor relationships, and equipment maintenance.

  • Tackle expense reports, data entry, and document preparation.

  • Work on-site daily at our Midtown Manhattan office to keep the team connected and energized.

  • Assist with ad-hoc projects on an as-needed basis.

A successful candidate will have:

  • BA or BS degree

  • 3+ years of experience supporting executive-level leaders in a fast-paced environment

  • Strong organizational and time management skills, with the ability to prioritize and meet deadlines.

  • Excellent verbal and written communication skills.

  • Self-motivated; proactively identify areas for improvement to better streamline team workflow.

  • Sense of urgency; ability to work in a fast-paced, dynamic environment.

  • Proficiency in Microsoft Office Suite, Google Workspace and other software efficiency tools like Hubspot, Zoom and Notion. 

Bonus Points For:

  • Previous experience in venture capital, financial services or start-up environments.

  • Experience in AI, machine learning or data-centric technology.

Base salary range: $80,000 – $110,000. This range is determined by multiple factors unique to each candidate, including skills and local market benchmarks.

Bonus: You will be eligible for an annual performance-based bonus.
